    Responsibilities

    The Project Coordinator, Speaker Programs will oversee the day-to-day operations of the Speaker Programs administration across the enterprise in alignment with company objectives. This can include but is not limited to collaboration with internal and external stakeholders, financial reporting, and process initiation and implementation. This position requires excellence in execution, strategic thinking, and influential communication skills. This position will report to the Manager, Speaker Programs.

    • Manages daily Speaker Program operations including Speaker contracts, venue selection review and, invoice payment and reconciliation, attendee registration, facilitating Speaker travel, Speaker Program evaluations, and reimbursement activity. Responsible for troubleshooting any deviations that arise and work with compliance and legal to decide on the appropriate and compliant remedy for timely resolution.
    • Ensure effective, efficient, and compliant management of activities involving Speakers, providing guidance and/or recommendations as needed.
    • Manage and audit program activities to confirm accuracy and adherence to policies.
    • Manage the approval process for onboarding speakers, ensuring qualifications are met, overseeing due diligence checks, and onboarding documents are received and appropriately retained.
    • Oversee Speaker compensation requests, certifying requested amounts and process payments to adhere to the contractually agreed upon terms.
    • Create, utilize, and maintain comprehensive templates and tools, as needed. Retain all program data with accuracy and guarantee completeness of documentation.
    • Collaborate with commercial leadership, compliance and legal partners regarding processes and communications
    • Prepare and deliver performance reports as required, troubleshooting any errors that may arise.
    • In conjunction with the Manager, liaise with members of the program team in a manner that optimizes the efficiency of the group.
    • Support the team in audits of the Speaker Program systems and processes.
    • Report unplanned engagement deviations related to Speaker Programs and payments to the Manager. Partner with Legal & Compliance as necessary, deciding what level of involvement is appropriate based on the infraction.
    • Oversee training programs and materials as it relates to Speaker Programs. Additionally, monitor, track, and analyze the training process for effectiveness and adherence to program business rules.
    • Monitor spending for adherence to assigned business unit budget.

    Qualifications

    • Bachelor’s degree required. Relevant project management experience preferred.
    • Ability to work effectively in cross-functional environments
    • Self-starter attitude with ability to self-manage
    • Proficiency in Excel, PowerPoint and Microsoft Project
    • Innovative problem solving
    • Excellent time management, scheduling, and organizational skills
    • Ability to manage multiple tasks in a fast-paced environment

    • Must have the flexibility to work extra hours to meet corporate and departmental goals
    • Must be able to travel domestically or internationally (up to 25%).
